Log all incoming and outgoing Drawings, LPO’s, Payment Certificates, MRF, SRV’s, Petty Cash, and ERF, LA etc.
Issue Drawings and Documents with proper Transmittal and Registers
Arranging & Printing of Documents and Deliverables Ad hoc duties as required.
Record all incoming and outgoing Transmittals, Submittals, and Reports.
Maintain current drawing sets for engineers and architects and ensure superseded drawings identified and filed.
Maintain NCR, RFI and Submittal Registers.
Record all incoming & outgoing RFI's & Submittals, properly updated in other Document Control software’s.
Use computer and rapidly input data and retrieve records and information.
Review and evaluate the project environment and existing document management processes
To organize workload and to manage filing methods and management techniques
Coordinate all activities related to the project documentation procedure of the company, including submission, monitoring, and filing of technical documents, drawings, and commercial correspondence received from Sales.
Input document data into the standard registers ensuring the information is accurate and up to date.
Generate project-related reports as required (i.e., mobilization/demobilization reports, project register, etc.)
Ensure that the controlled copies of latest approved documents and drawings are given to the appropriate staff and clients as applicable.
Examine documents, such as blueprints, drawings, change orders, and specifications to verify accuracy of data.
In charge for the labeling of the document title and codes.
Prepare administrative forms required by the project engineers and managers
Assist and stand in for Administrative assistant as required.
Official letter drafting and preparing invoices.
Maintain the documents and drawings in the Projects Department under safe custody without any damage or deterioration with easy traceability.
Ensure the timely submission of timesheets and correspondingly summarize the timekeeping report required by the company.
Coordinating all type of managerial assignments as a part of administration.
Ticketing and booking flight, Travels related works and filing.
Communicate to interact effectively with co-workers, superiors, subordinates and the general public, sufficient to convey
